From the moment you enter The Kings Arms until the moment you leave, our experienced staff will guide you through the happiest day of your life, enabling you to enjoy the festivities to the full. We want you to rest assured that every detail will be taken care of prior to your special day, from organising the menu and beverages through to table plans and entertainment.
We will cater for all of your individual requirements, with an experienced, friendly and professional staff, you will have only the finest standards of service and quality.

Conditions

The hotel can consider a reservation as definite when a letter of confirmation advising your time of marriage and location, together with receipt of our required non-refundable deposit of £750.00 has been received.
The Hotel will charge for a minimum number of persons specified for a particular function suite. Upon receipt of a deposit, a contract is issued by the hotel as confirmation - this must be signed and returned within 7 days. Final numbers for catering purposes are required 48 hours prior to the function date and this will be the minimum number charged for.

Payment Terms

Full payment is required 21 days prior to the event, with any outstanding charges payable prior to departure.
All prices quoted in the brochure are guaranteed not to increase after receipt of the confirmation deposit and are inclusive of VAT and service charge.

At The Kings Arms, once you are ready to proceed and have confirmed your booking, we arrange details for your function as follows:


Accommodation

If you are likely to require accommodation for yourself or for your guests it is advisable to reserve them at the time of your initial booking. The accommodation rate for guests attending your wedding is as follows and is inclusive of full English breakfast, VAT and service.

Standard Double or Twin Room (for double occupancy) - £119.50

Suite - £149.00

Guests attending your function should be advised of the rates and asked to call direct to reserve their own rooms. It is advisable to request your guests to reserve accommodation as soon as possible, as The KIngs Arms can become fully booked with visitors to the town.

Entertainment

We are most happy to assist with booking entertainment. We advise you to book as soon as possible to avoid disappointment.
When The Kings Arms recommends a DJ or live entertainment, the supplier will confirm to you direct and nearer the booking date you should discuss your music requirements and first dance as well as any specialist songs/music eras and songs that you may require.

Fireworks are NOT permitted within the hotel grounds


Il Porto di Mare (The Seaport)

Il Porto di Mare Suite is our elegant, contemporary restaurant, stylishly decorated and perfect for a minimum of 30 and a maximum of 70 guests.

The Walled Garden

Weather permitting, arrival drinks can be taken in the medieval walled garden. Its wishing well makes an ideal place for photographs.

The Garden Terrace Suite

The Garden Terrace Suite caters for the smaller celebrations, accommodating up to 60 guests for a meal or 100 guests in the evening. The Garden Terrace Suite has direct access to our Walled Garden and is also licensed for Civil Marriage ceremonies.

The Old Town Assembly Rooms

A unique setting for memorable celebrations, the 18th Century Old Town Assembly Rooms is linked to the hotel and has been restored and refurbished to create a superb function suite, catering for parties between 60 and 200 guests. Complete with integral bar, Minstrel's Gallery and access to the Walled Garden.

Once your reservation is confirmed we would suggest you come in around three months prior to the date to discuss detailed arrangements and requirements.

Civil Ceremonies     

                          

The Kings Arms is now licensed to hold Civil Marriages in the Garden Terrace Suite, which can seat up to 100 guests.


The room hire charge for the marriage ceremony only is £250.00.  This does not include any decorations or flowers but we are happy for you to make your own arrangements.

The Garden Terrace Suite can seat up to 100 guests and is available after your ceremony for your Wedding Breakfast.

Once the Ceremony has taken place, guests are requested to vacate the Suite whilst the hotel re-lays the room ready for dining. This will take approximately 1.5 hours. We suggest that you use this time for photographs, pre-lunch drinks and your receiving line.

Once you have reserved the Garden Terrace with us provisionally, you should contact Berwick Registry Office to book a Registrar.

Upon receiving confirmation from the Registrar, we would require your non-refundable deposit of £750.00 by return to confirm your Reception booking.

We hold provisional bookings for 14 days. If the required deposit has not been received within this period, all provisional reservations will automatically be released.

Check List - 3 Months To Go

Here is a check list of all the things we will ask you about when we see you

Number of Guests expected, including Children

Your expected arrival time

Arrival Drinks - alcoholic and/or non-alcoholic - you will need to advise us of the quantities you wish to be offered.

Bar Drinks - we will ask for your specific instructions. (ie: whether all drinks will be on a cash basis or whether you will operate a credit bar)  

Sit down time for dining - you should confirm with your photographer how long they will take to provide us with an accurate timing

Receiving Line - we will ask you if this is required

Menu - You will see from our tariff that our minimum price per head is £22.50 per person for 2008. We ask you to give some thought to your required menu - we are always happy to take your own ideas to our Chef to consider and price.

Vegetarian Menus and special diets may be catered for separately but we must be advised of exact numbers of each.

Children from the age of 3 to 10 years may take a half portion of your chosen menu and charged half price or alternatively if they are younger, they may choose a younger child's menu  

Wines - We will ask you to choose your required wine - a full wine list will be available and you will be asked to confirm quantities required.

Champagne or Sparkling Wine is traditionally served as a toast with speeches. Quantities of this should also be advised.

Minerals - You will be asked whether you require bottles of mineral water on the tables and if soft drinks may be served to guests not drinking.

Room Layout - A room layout will be supplied which will show the recommended number of tables for your function and the total number of guests we can seat on each table. We will provide you with a Seating Plan - we ask for your draft plan at least 7 days prior to your function.  

Flowers - The Kings Arms is happy for you to recommend local florists. Should the florist wish to visit your function suite, they should contact the sales office to make an appointment. Delivery of flowers to be advised in the final planning stages. The Florist's account should be settled by you direct with the supplier.

Place Cards - You are most welcome to provide your own place cards which should be delivered at least 3 days prior to your function. They should be supplied in order and labelled clearly with the relevant table number. Alternatively, The Kings Arms will supply and prepare white place cards printed in black at no extra cost. Your guest list should be with us at least 7 days prior to your function. Colour co-ordinated Place Cards can be supplied at an extra cost.

Menu Cards - You may also provide your own menu cards which should also be delivered at least 3 days prior to your function. The Kings Arms will supply and prepare white menu cards printed in black at no extra cost. Colour co-ordinated Menu Cards can be supplied at an extra cost.  

Cake Stand - We include the use of a Round or Square silver cake stand and knife. Delivery of your wedding cake should be arranged for the morning of your wedding.

Toastmaster - You are welcome to hire the services of a toastmaster directly or alternatively our management will arrange to make the necessary introductions and announcements.

Favours - These may be delivered in advance and should be clearly marked.

Cameras - You can supply Fun cameras which we can put on the tables. Remember to appoint someone to collect them at the end of the function!

Buffet - Evening buffet food will be discussed and arranged.

Toasts and Speeches

The Bride's Father will toast the couple
The Groom replies on behalf of the Bride and himself, thanking guests for presents and toasts the Bridesmaids
The Best Man replies on behalf of the Bridesmaids and reads out any messages from absent friends

Cancellation Policy

In the event of a cancellation the deposit is non-refundable and whilst the hotel management will make every effort to re-sell the room, failure to do so will result in the following cancellation charges.
